Programme description
The programme is designed to find relevant text documents, files and data in external and internal databases, and to process, classify, parameterize, tag them, also, forward them to data storage devises, bases, designated or determined according to specific parameters, and to perform other actions. The programme has the tools of artificial intelligence enabling the automation of actions that improve the performance of the sequence of programme actions in order to minimize the number of programme errors and the involvement of the user in programme processes.

This is a new way to manage documents, files and data in computer hardware. Document management programme has new unique features as it is highly automated, requires minimum human involvement, has artificial intelligence tools enabling the programme to independently improve the sequence of actions. The programme can find and identify necessary data in various text files, process data according to objectives set, transfer data to specified systems for further processing.

The programme can process text documents and files that are usually used in company's business activity, for example, in law firms, notary offices, bailiff offices and other institutions where a computer or a similar device is required and text and/or digital information is involved. The programme will be the most useful and save time (with respect to manual work) in cases where uniform, routine actions that are similar in nature and have the same sequences are performed.

Programme initiation
  • the user must determine programme periodicity on the basis of which it will perform specified action;
  • the programme monitors changes in data stored in external or internal databases, identifies them, and determines parameters; compares identified changes and/or parameters with the ones specified by the user; if determined and identified changes and/or parameters thereof match the ones determined by the user, the programme initiates the start of specific action sequence; the user may also initiate the start of a specific action manually;
  • the programme may be configured to initiate specific action sequence by connecting several afore-mentioned initiation methods, for example, the programme checks for any data changes in external and/or internal databases according to certain periodicity, thus initiating the start of operation;
  • upon initiation, action sequence starts the execution of the commands of the sequence independently.
Action sequence priorities
  • specific action sequence may be created by software developers and installed together with the programme;
  • the programme operates in an environment which uses a simple, ergonomic, user-friendly graphic interface designed to enable the user to create new or improve existing action sequence;
  • by using artificial intelligence tools, the programme creates new and improves existing action sequences. The development of new and the improvement of existing sequences is done by employing artificial intelligence tools and monitoring corrections made by the user following the sequence of actions, i.e., artificial intelligence tools use feedback to improve action sequences, create new (actions sequence takes into consideration errors and improves its operation in order to avoid same mistakes in the future);
  • several combined afore-mentioned methods for the creation and improvement of action sequences are used, for example, action sequence developed and installed by programme developers is improved by using the instructions by the user and artificial intelligence tools;
  • artificial intelligence tools are used to increase the stability of programme and improve action sequence. The goal is to minimize the involvement of the user of the software.
External sources
  • according to goals set, the programme contacts external (remote) or internal (directly related) databases, and, if necessary, connects to databases using login data provided by the user, searches for specified information and data, copies and exports data, files and documents, also, changes the format of data, document, or file into a format needed for the execution of the next step, inserts copied data into a location and/or document specified by the user. A location specified by the user may be internal databases necessary for the operation of the programme from which data will be used for further processing, or external databases for determination of which data must be provided. Data are used for the performance of different actions, including but not limited to:
  • creation of various text files (e.g., opened with Word, Excel programmes, filename extensions .pdf, etc.);
  • integration and export of imported and copied data into external and/or internal databases;
  • if necessary, when transferring data from one database to another, changing the format, type of data taking into consideration the settings and requirements of targeted databases to which data are transferred;
  • data uploaded into targeted database may result in initiation of further actions;
  • the programme sends found data and files via various means of communication and in different formats to designated addressees;
  • if programmed in the sequence of actions, the programme prepares obtained data for printing, prints them and prepare printed documents for mailing (enveloping);
  • the programme assigns required identifiers, tags, codes, and markings to obtained and processed data according to which, marked data can be recognized by other programmes, databases and other data exchange instruments, and actions similar to the afore-mentioned ones can be performed.
Artificial intelligence
To implement the recognition of text data in external data basis as accurately as possible, programme training functions are installed in the programme. The user trains the programme how to accurately, on the basis of what criteria, to recognize certain data. Artificial intelligence might be employed for programme training and used to record how in certain cases the programme is trained to recognize necessary data. Statistical probabilities are formed from recorded data which are then used in future data identification cases.
Task distribution function
If the programme is used by several users, it can also perform task distribution function. The goal is for the programme to independently, according to pre-defined parameters, by using artificial intelligence tools for assessment of the duration of works and/or other parameters, distribute such data, files and documents to several employees working with the afore-mentioned data, files and documents. Such work distribution enables even division of workload of the users working with the programme; if employees have to deal with documents in extremely urgent manner, the programme will determine which employee could handle the task in a fastest way. Other goals may also be set in the process of distribution of documents and data by the programme.
